I am a full member of the Association of Reflexologists (AoR). Being a full member of the AoR demonstrates that I have a nationally recognised Diploma in Reflexology.

As an AoR member:

I am bound by the AoR Code of Practice and Ethics.
I follow the AoR Good Practice Policy and hygiene guidance to ensure client safety.
I will always be adequately insured for medical malpractice /professional indemnity requirements. The industry standard is in excess of £5 million cover.
I comply with the AoR Continuing Professional Development requirements which ensures my practice is kept up to date.
I am compliant with GDPR data protection, please see my separate Privacy policy. Your information will remain confidential at all times.
As a professional and highly qualified reflexologist with MAR status, I will provide you with the appropriate bespoke treatment and support.

1. Appointments
 I have health requests of my clients as follows:

If you feel unwell, have a cough, a fever or loss of taste and smell or have been in touch with anyone with these symptoms please contact me as we may need to postpone your appointment.
In return I will apply these high standards to myself. Should I feel unwell, unable to treat or it is inadvisable for me to treat, I will explain the situation to you as soon as possible before your treatment.

2. Fees

My fees are either payable in advance as part of a treatment package or in full at the time of treatment:
 
Foot reflexology- 1st appointment for new clients. 60 minute reflexology plus 20 minute consultation = £50
Foot reflexology- follow up appointment. 45 minute reflexology plus 10 minute consultation refresh = £45
Foot reflexology- follow up appointment. 60 minute reflexology plus 10 minute consultation refresh = £55
Hand reflexology treatment: 1st appointment for new clients is 45 minutes reflexology plus 20 minute consultation. Following treatments are 30 minutes reflexology plus 10 minute consultation refresh. = £40
Mobile reflexology service (home visit) is available within a 20 mile radius of Singleton, Ashford, Kent and will incur an additional £5 charge per visit.
There will be no additional £5 charge for mobile reflexology home visits that take place within Singleton or within Woodchurch, Kent.
I reserve the right to choose to use discretion regarding the application of an additional charge for mobile reflexology services.
I offer a “Refer a Friend” promotion where you can receive £5 off your next treatment when you refer a friend for treatment. The discount is applicable after the referred friend or “referee” has booked their treatment.  Your friend will also receive £5 off their first treatment when mentioning your name and email address at booking. 
I reserve the right to choose to use discretion regarding the application of any discounts.
 

3. Cancellation Policy

I understand that emergencies and illnesses occur and you may need to cancel or re-book your appointment at short notice.
If you are unable to attend your previously arranged appointment I request you provide me with at least 24 hours notice.  This allows me to offer the treatment time to another client on my waiting list.
Depending of circumstances, cancellation of less than 24 hours notice or failure to attend an appointment without notification may result in a fair-use fee of 50% of my usual treatment cost. This fee will be required to be settled prior to any future bookings.

 

4. Treatment packages

I offer the option to book a package of treatments.  If you book 6 treatments you receive the 7th treatment free of charge. These are provided at a reduced price as they are paid for in advance.
These treatments can be booked during my normal working hours with no restrictions.
Where an appointment is booked and missed, my cancellation policy above will apply and an amount will be deducted from those remaining.
These treatments are paid in advance and are fully flexible with 24 hours notice.
These treatments have to be used within 6 months of the first appointment.

 

5. Vouchers

I supply the option to buy vouchers for treatments. These may be given as gifts.
These treatments can be booked during my normal working hours with no restrictions.
Where an appointment is booked and missed, my cancellation policy above will apply and a proportion of the treatment will be deducted from those remaining.
These treatments are paid in advance and are fully flexible with 24 hours notice.
These vouchers are non refundable.
These vouchers are required to be used within 6 months of purchase. The expiry date will be shown on the voucher.

 

6. Use of background music

I only play Royalty free music within my business and therefore I am not required to have The Music Licence. Unless you are in your own home, I am unable to play your preferred music selection.
 

7. The use of face coverings

I choose to use discretion regarding the wearing of face coverings.

YOUR PERSONAL INFORMATION – GENERAL DATA PROTECTION REGULATION (GDPR)

GDPR brought in new legal protection for personal information from May 2018. This tells you what personal information I gather via my website, and why, and what your rights are.

The Purpose of processing Client Data:

In order to give professional reflexology treatments, I will need to gather and retain potentially sensitive information about your health. I will only use this information for informing reflexology treatments and associated recommendations concerning aspects of health and wellbeing which I will offer to you. I take basic contact details and information via my website to allow me to contact you and handle bookings.


Lawful Basis for holding and using Client Information:

As a full member of the Association of Reflexologists, I abide by the AoR Code of Practice and Ethics. The lawful basis under which I hold and use your information is my legitimate interests i.e.my requirement to retain the information in order to provide you with the best possible treatment options and advice.

As I hold special category data (i.e. health related information), the Additional Condition under which I hold and use this information is: for me to fulfil my role as a health care practitioner bound under the AoR Confidentiality as defined in the AoR Code of Practice and Ethics.


What information I hold and what I do with it:

In order to give professional reflexology treatments, I will need to ask for and keep information about your health. I will only use this for informing reflexology treatments and any advice I give as a result of your treatment. The information to be held is:

Your contact details
Medical history and other health-related information (which I will take from you at first consultation)
Treatment details and related notes (which I will take after each consultation)
I will NOT share your information with anyone else (other than within my own practice, or as required for legal process) without explaining why it is necessary, and getting your explicit consent.

How Long I Retain Your Information for:

I will keep your information for the following periods:

‘claims occurring’ insurance: (records to be kept for 7 years after last treatment)
law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26)
Your data will not be transferred outside the UK without your consent.

Protecting Your Personal Data:

I am committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.

I will contact you using the contact preferences you give me in relation to:

Appointment times
Reflexology information or information related to your health
Special offers and promotions (you may unsubscribe from this at any time)
Your Rights

GDPR gives you the following rights:

The right to be informed:
To know how your information will be held and used (this notice).
The right of access:
To see your therapist’s records of your personal information, so you know what is held about you and can verify it.
The right to rectification:
To tell your therapist to make changes to your personal information if it is incorrect or incomplete.
The right to erasure (also called “the right to be forgotten”):
For you to request your therapist to erase any information they hold about you.
The right to restrict processing of personal data:.
You have the right to request limits on how your therapist uses your personal information.
The right to data portability: under certain circumstances you can request a copy of personal information held electronically so you can reuse it in other systems.
The right to object:
To be able to tell your therapist you don’t want them to use certain parts of your information, or only to use it for certain purposes.
Rights in relation to automated decision-making and profiling.
The right to lodge a complaint with the Information Commissioner’s Office:
To be able to complain to the ICO if you feel your details are not correct, if they are not being used in a way that you have given permission for, or if they are being stored when they don’t have to be.

THERAPIST’S RIGHTS

Please note:

If you don’t agree to your therapist keeping records of information about you and your treatments, or if you don’t allow them to use the information in the way they need to for treatments, the therapist may not be able to treat you.
Your therapist has to keep your records of treatment for a certain period as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed.
Your therapist can move their records between their computers and IT systems, as long as your details are protected from being seen by others without your permission.
